Absences are incorrect:   Please remember that the absences are year-to-date. So if a student has perfect attendance at your school, but missed 3 days at the previous school, those 3 absences will be reflected on the report card.  The attendance clerk needs to be sure that all absences are entered for the quarter prior to the printing date of the report cards.


Languages:  What determines in what language a student's report card will be printed?

On the Enrollment Screen is a field called Lang At Home.  

01 = Spanish
00 = English
All other codes = English

Please notify your school secretary or school clerk if a code needs to be changed.  The teacher determines what the code should be according to the parent's request.


ISP Students - Who Enters the Grades?

The ISP teacher needs to print out a blank report card for the ISP students and give the report card to the regular teacher so that she can enter the grades.  The regular teacher is the only one who can access the student's report card online after logging in.


 

Long-term Subs   What username do they use to enter Report Cards and Assessments?   The long-term sub needs to contact Terry Hirrel in Information Technology (ext. 14826) to be sure that the sub has an active network account.  She then needs to tell Terry the name of the teacher for whom she is subbing.  Terry has access to an administrative file used to enable subs to enter the grades and assessment scores.  If Terry isn’t available, please explain your situation to whoever answers the phone and they will direct your call accordingly. 


Do Special Ed students receive a report card?

The following information was obtained from the Director of Special Education (10/13/03):

 

SDC:

Those students who are in the self contained (all-day) SDC-Special Day Classes do not have the electronic report cards completed, but will instead have the SE 1 series of Quarterly Progress Reports completed.

    

RSP, DIS:

Those students in Special Education whose placement is General Education with Special Education DIS support, such as Resource Specialist, Speech and Language, or Adapted Physical Education, are to have the electronic report card completed by the General Education teacher, with input required from the Special Education (RSP) teacher.  In addition, the students will receive the SE 1 series of Quarterly Progress Reports.    

 

Where can a Special Education teacher obtain the SE 1 series of forms?   The SE 1 series of forms (available in both Spanish and English) can be obtained from Special Education.


Server Error   If you click on the Submit button and end up with a Server Error message, you need to click on Tools on the Standard Toolbar, then click Internet Options.  Under Temporary Internet Files:

  1. Click the Delete Files button.  Select Delete all offline content.  

  2. Click the Clear History button.  

  3. Click the Settings button.  Click the top item that reads, "Every visit to the page" under "Check for newer version of the page:"  

  4. Close Internet Explorer, then open it again.  


Student has moved to another school or another teacher: 
Immediately after your school's final report cards are printed for each quarter, an additional copy will be printed on legal size paper for the teacher's records.  The teacher's copy are to be used for the following purposes:  

   

1.  Place in the cume folder if the student leaves the school

2.  Copy for parent if original is lost

3.  Use as a tool for determining the next quarter grades  

Also, if you have a new student who attended a BCSD school during the previous quarter and also received a report card from that school, his grades will be displayed on the current quarter's report card for the new BCSD school.


What if I entered the student's grades online, but he moved before his report card was printed.   Now the new school is wanting a copy of the report card for his cume folder!

 

Don't panic.  Just call I.T. Operations at ext. 14851 or 14826 and request a report card for an inactive student.  They have the capability to print the report card for you.


When the student changes teachers, the original teacher needs to print a blank report card, fill it out and send it to the new teacher.  Any grades assigned to the student for prior quarters will remain on the student’s electronic report card and will be transferred along with the student name to the receiving teacher.  If the original teacher will not be assigning grades for the quarter following the teacher re-assignment, no action needs to be taken by the original teacher.  The receiving teacher will have access to prior quarter grades the day after the school office has changed the student’s enrollment record to reflect the new teacher assignment. 


Can’t log on:   Be sure that you are typing your last name and first initial of your first name (all together, one word) and then your password (do not enter dashes or slashes, and if it’s the original password, it must be typed as 6 numbers, so type a leading zero if necessary).    If you still can’t log on, contact Information Technology, ext. 14848 or 14826 so that your username and password can be verified.


 Student is missing from your list:   Your new students will not appear in the drop-down list until the day after the school office enrolls him in your class on the computer.


Run-Time Error   If you happen to get a run-time error message when updating a student, just close out of Internet Explorer and then log back on.   This is a rare problem, but has an easy solution.  Call Information Technology if these instructions don’t work.


"You have reached the wrong version"   This message means that the shortcut icon or method you are using to access the report card site is trying to access a non-existing version of the report card program.  Just go onto the bcsd.com site, press the F5-key, then access the report card program from the BCSD home page.
